Personal Assistant to the Managing Director

Our client is a well-established FX Company, regulated by CySec, offering innovative investment and FinTech services to professional traders and institutions. They are seeking a highly skilled and organized Personal Assistant (PA) to support the Managing Director in their Limassol, Cyprus offices.

In this pivotal role, you will ensure the efficient operation of the Managing Director’s office, providing high-level administrative support across various business functions. 

You should have proven experience in a similar role, excel under pressure, and possess exceptional multitasking and communication skills. A strong sense of confidentiality, coupled with the ability to manage multiple tasks and deadlines effectively, is crucial. Fluency in English is essential, along with proficiency in handling sensitive information and coordinating communication within and across departments.

Key Responsibilities (but not limited to):

  • Provide comprehensive administrative support to the Managing Director, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Typing, formatting, and editing reports and documents.
  • Flexibility to travel abroad occasionally.
  • Maintain confidentiality of all sensitive and financial information handled on behalf of the Managing Director.
  • Prepare and create presentations, reports, and other documents as required.
  • Attend meetings with or on behalf of the Managing Director, taking detailed minutes and ensuring follow-up on action items.
  • Serve as the primary point of contact between the Managing Director and internal/external stakeholders, ensuring smooth communication and effective collaboration.
  • Assist in coordinating and communicating with various departments, ensuring alignment and efficient workflow.
  • Organize and manage special projects, as directed by the Managing Director.
  • Handle correspondence, including drafting emails, letters, and other communications on behalf of the Managing Director.
  • Coordinate and manage events, meetings, and appointments, ensuring all details are handled efficiently.
  • Manage and prioritize multiple tasks and projects, ensuring deadlines are met and work is completed to a high standard.
  • Arrange domestic and international travel, including flights, accommodations, and itineraries.
  • Anticipate the needs of the Managing Director and proactively address any issues that arise.

Skills / Personal Attributes Required:

  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.
  • Excellent communication skills, both written and verbal, with a native-level proficiency in English.
  • High level of confidentiality and discretion, particularly with financial and sensitive information.
  • Proficient in creating professional presentations and reports, with a strong command of office software.
  • Ability to work independently, demonstrating initiative and problem-solving skills.
  • Strong interpersonal skills, with the ability to work collaboratively across departments.
  • Flexibility and adaptability in handling a variety of tasks and responsibilities.
  • Experience in coordinating travel arrangements and managing complex schedules.
  • Professional appearance and ability to represent the Managing Director in interactions with internal and external stakeholders.

Qualifications:

  • At least 2-3 years of proven experience as a Personal Assistant, Executive Assistant, or similar role, preferably supporting senior management or executives.
  • Bachelors degree in Business Administration, Communications, or a related field is preferred.
  • Experience in handling confidential information and financial matters with discretion.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
