Job Summary:
We are seeking a detail-oriented and organized Back Office Assistant to support our day-to-day business operations. The ideal candidate will assist in various administrative tasks, ensuring the smooth functioning of the company’s back-office operations. Key Responsibilities:
- Customer Database Management:
- Accurately input, update, and maintain data in databases or spreadsheets.
- Verify and cross-check information for accuracy and completeness.
- Backend System Support:
- Assist in monitoring, troubleshooting, and optimizing backend systems to enhance operational efficiency.
- Invoicing:
- Process invoices and manage billing cycles.
- Coordinate with the finance team to ensure timely payments and financial accuracy.
- Documentation:
- Prepare, organize, and manage documents, files, and records.
- Ensure proper filing systems are maintained for easy retrieval.
- Assist with creating reports and presentations when required.
- Administrative Support:
- Coordinate with other departments to facilitate smooth workflow and resolve operational issues.
- Handle email correspondence, phone calls, and internal communications.
- Assist with scheduling and maintaining calendars.
- Manage accommodation and flight arrangements for team members.
- Inventory and Supplies:
- Monitor and manage office supplies and inventory levels.
- Coordinate the procurement process and maintain records of purchases.
- Compliance:
- Ensure all back-office processes comply with organizational policies and industry standards.
- Safeguard sensitive and confidential information.
Qualifications and Skills:
- Strong organizational skills and attention to detail.
- Proven experience in a back-office or administrative role.
- Proficiency in Google Suite and Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and/or other office software.
- Ability to work with various technical tools and software; quick to learn new tools, systems, and processes.
- Strong organizational and multitasking skills.
- Excellent attention to detail and problem-solving abilities.
- Effective written and verbal communication skills and a corporate mindset.
- Ability to work independently and collaboratively within a team.
