Personal Assistant to the CEO

Our client is a long-standing group of companies specializing in financial services within the FinTech sector. They are currently seeking a Personal Assistant (PA)
to the Chief Executive Officer (CEO) who will play a key role in overseeing the CEO’s schedule, communications, and handling administrative responsibilities.

Responsibilities:

  • Maintain and organize the CEO’s calendar, scheduling meetings, appointments, and travel arrangements
  • Act as the primary point of contact between the CEO and internal/external contacts, ensuring effective communication for everyone involved
  • Handle phone calls, emails, and correspondence on behalf of the CEO, ensuring prompt responses and appropriate filtering of information
  • Arrange complex travel itineraries, including flights, accommodations, and transportation
  • Prepare travel packs with essential documents and information
  • Prepare reports, presentations, and documents for meetings, ensuring accuracy and confidentiality
  • Assist in organizing and coordinating meetings, including logistics, agendas, and follow-up actions
  • Attend meetings with the CEO, take minutes, and distribute them as required
  • Support the CEO in various projects, research, and special assignments
  • Ensure timely completion of tasks and project-related deadlines
  • Handle sensitive and confidential information with the utmost discretion and professionalism

Requirements:

  • Bachelor’s degree or equivalent work experience
  • Proven experience as an executive assistant or personal assistant to senior management
  • Excellent command of the English language both verbal and written (native or fluent English speaker)
  • Excellent written and verbal communication skills
  • Proficiency in office software and tools, including Microsoft Office
  • Exceptional organizational and time management skills
  • Strong attention to detail and accuracy
  • Ability to multitask and prioritize effectively
  • Discretion and trustworthiness in dealing with confidential information
  • Flexibility and adaptability in a fast-paced environment
  • May require occasional overtime and flexibility in working hours to accommodate the CEO’s needs.
